Virtual Van Trip Application

Submitted by: Amy Groff  (Greenfield District)

This INDOT innovation modernizes the way projects are reviewed and scoped during the early stages of capital program development. The Virtual Van Trip Application creates a collaborative digital workspace where district staff can share input, review project details, and evaluate roadway conditions without needing to travel together in person.

The application pulls projects from INDOT’s 20‑year plan and creates a dedicated SharePoint list where district partners can enter comments as part of the call‑for‑projects process. A Microsoft Power App provides an easy‑to‑use interface for entering and viewing feedback, while an integrated GIS map shows project locations and links directly to PathWeb for roadway imagery.

Before the virtual review, team members can submit comments and observations. During the virtual van trip, the app serves as the central hub for project data, maps, and cost information. Roads are “driven” using PathWeb imagery, and additional notes are captured directly in the app. Once complete, the system automatically generates a Microsoft Word document and PDF that can be attached to project scoping materials.

By digitizing this process, the Virtual Van Trip Application improves collaboration, increases efficiency, and provides a more organized and accessible method for evaluating future transportation projects.
