Aligning IOT with your business processes

At IOT, it is a goal to constantly improve business performance on behalf of our customers.

What is IOT doing? One of the ways IOT has worked to improve its service to customers is through the Agency Liaison Program, implemented in May 2016, with 40 “part-time” agency liaisons. These liaisons were managers throughout IOT that supported agencies in addition to their regular assignments.

This year, IOT has hired TWO full-time IOT Liaisons, Lisa Pratt and Aaron Corbett, who are now the direct contacts in assisting agencies.

Pratt and Corbett are not only the points of contact for service improvement suggestions, but they also review and explain the agencies’ IOT bill, discuss upcoming IOT projects that may affect certain agencies, and answer any questions regarding IOT services.

The liaisons also can recommend services each agency is not currently using that could be helpful to their business.

IOT is committed to using the liaison program to ensure the quality and value of our service to customers and also to spend more time collaboratively working with agencies to ideate solutions and capabilities, looking to treat pains and provide benefits through leveraging technology.

We are currently experimenting with some strategies and seeking feedback from agency leadership to help refine how and when we engage to best align with our partners, helping them select solutions and providing guidance that supports their mission.

IOT is here to help you do your business more successfully, and that requires a great relationship.

Digital Government Summit Reminder: Next week

This year the Digital Government Summit is being held virtually over the course of two partial days: Wednesday, Oct. 7 (9:00 – 11:20) and Thursday, Oct. 8. (9:00-10:05)

What will it look like? The event will be like a normal summit, except broken across two mornings and completely virtual.

Who will be there? Kick-off with words from Gov. Holcomb and Chief Information Officer Tracy Barnes.

The keynote will be given by Dan Thurmon, Author, Peak Performance Coach and Hall of Fame speaker. He will be discussing the events of 2020 and “making the best of IT.”

WorkSmart 365 virtual conference is Oct. 13- 30

The annual WorkSmart 365 Fall Conference will be a little different this year, not only will it be all virtual but it will span a few weeks in October – where we will take the opportunity to dedicate and celebrate the diversity and resiliency of the State of Indiana workforce.

Join fellow state employees for three weeks of virtual celebration; including scheduled Live Events through Microsoft Teams, and On Demand content available through Microsoft Stream.

When is this taking place? Events are planned from October 13th – October 30th, 2020.

What will it look like? Look for scheduled Teams Live Events, training opportunities, and on demand content hosted or produced by WorkSmart 365 Champions, members of our Microsoft account team, agency leadership from around the State, and more!

IOT names Hemant Jain as new CISO

Hemant Jain is assuming the role of IOT’s Chief Information Security Officer.

Over the past six months, Hemant has filled this role in the interim and has shown a significant level of both leadership and expertise in the security realm as well as in overall information technology management and delivery.

Coming to IOT in May 2018, Hemant brought with him more than 23 years of IT, Security, Portfolio/Project Management and Customer Service delivery experience from various industries and sectors such as high tech, health care, manufacturing, financial and both state and federal agencies. This breadth of experience serving in various roles across numerous industries brings significant value to the always important task of protecting our state through technology solutions as well as through effective policy adoption.

Hemant and his security team will continue aggressively working to ensure information assets and technologies are protected statewide and identify ways to work with their local government peers and vendor partners to gain true comprehensive perspective and protection. By partnering with other agencies, the Indiana Executive Council on Cybersecurity and other elected official offices, the team will truly be focused on taking Indiana cyber protection to the Next Level.

In an effort to raise awareness among Hoosiers about the importance of cybersecurity in Indiana, Gov. Eric J. Holcomb again has officially proclaimed October 2020 as Cybersecurity Awareness Month. Holcomb's proclamation derives from National Cybersecurity Awareness Month (NCSAM).

Indiana honored in 2020 StateScoop 50 Awards

StateScoop recently announced the winners of the 2020 StateScoop 50 awards, which recognize the projects and people driving state government technology and cybersecurity. Anushree Bag, Executive Director for Risk and Compliance with the Office of Technology won the State Leadership of the Year award, Sarah Schelle, Executive Director of Legislation and Data Science with the Department of Correction won the State Up & Comer of the Year, and the State of Indiana was honored with a State IT Innovation of the Year award for Access Indiana.

Members of the state and local IT community nominated thousands of leaders and projects for the awards beginning in February. From there, StateScoop narrowed the list to the 182 finalists who received the most nominations. Between March and June 2020, readers cast more than 2 million votes nationally between March and April to select the final winners.

Anushree Bag implemented a new program focused on high-level maturity within governance, risk, and compliance (GRC) and policy management at IOT. With her leadership, her compliance team is utilizing a formalized GRC framework to manage four regulatory audits of IT risks. This has dramatically reduced overhead in responding to federal audits.

Bag has also created a Government Women in Technology group, the first of its kind in Indiana, focused on creating a supportive ecosystem for women in technology. The group helps advocate for empowerment, enablement, elevation, while mentoring and motivating women to take risks and navigate an impactful career in technology.

Sarah Schelle is improving prison safety while helping released prisoners establish stable lives and reducing recidivism. She helped create a risk-assessment tool that uses predictive analytics to reduce violence in prisons and improve guard safety. With four times the accuracy in predicting violence, staff assaults dropped 50 percent in six months. Inmate-on-inmate assaults dropped 20 percent.

Schelle also helped launch a program that analyzes workforce, education, geographic and corrections data to help the Department of Correction match soon-to-be-released offenders with job opportunities, while considering frequent transportation and education limitations. The program also matches offenders with certificate programs they can complete before release to increase earning potential.

AI

Access Indiana, the state’s single sign-on portal, won the State IT Innovation of the Year award. Access Indiana was created to make it easier for Hoosiers to do business with the state by utilizing a single login and password to access multiple systems.

The state transitioned to this portal for improved customer experience, greater security, and development efficiencies. The portal’s dashboard contains access to 25 government services including the BMV online scheduler, registering to vote, a public safety portal and more.

State of Indiana recognized for innovative hiring practices

The American Workforce Policy Advisory Board Digital Infrastructure Working Group’s study Learning and Employment Records: Progress and the Path Forward (September 2020) has recognized three Indiana agencies, including the Indiana Office of Technology, for leadership in making skills-focused hiring a priority.

The American Workforce Policy Advisory Board provides advice and recommendations to the interagency National Council for the American Worker on ways to encourage the private sector and educational institutions to combat the skills crisis by investing in and increasing demand-driven education, training, and re-training, including training through apprenticeships and work-based learning opportunities.

Over the last several months, IOT has partnered with Skillful Indiana to improve understanding of skill-based job descriptions and the impact that it has on hiring. This effort will continue to be critically important in IOT’s approach to talent development, diversity, and inclusion moving forward.

Indiana is also working to increase the number of employers that utilize skills-based hiring practices. Local workforce boards and the employer engagement team at the Indiana Department of Workforce Development have participated in the Skillful Talent Series training regarding skills-based hiring practices. Those trained are then working with employers across the state to help them transition to skills-based hiring practices to access training funds available through the state’s Employer Training Grant program.
