Public Meeting Requirements Under Indiana Code IC 5-14-1.5-2.9

As of July 1, 2025, Indiana Code IC 5-14-1.5-2.9 requires governing bodies of state agencies to provide live transmissions and archived recordings of public meetings on a publicly accessible platform. This is part of our continued commitment to transparency and accessibility in government operations.

Agency Responsibility for Streaming and Content Management

While the Conference Center provides access to audiovisual equipment, it does not provide streaming services or Teams meeting setup, even in modernized spaces.

Agencies are responsible for managing their own livestreaming logistics and must arrange for IT personnel to be present if support is needed during the event.

Agencies are responsible for:

  • streaming setup
  • video storage
  • content publishing
  • archive management

Coordinate Room Setup with the Indiana Government Center Conference Team

The Indiana Conference Center team will assist with room setup based on your meeting needs and the room’s capacity. Clearly communicate your setup requirements when making a reservation.

Reservations are accepted on a first-come, first-served basis through the Conference Center Office.

Equipment Rentals and Livestreaming Support

Standard Equipment

The Indiana Government Center Conference Center offers a limited supply of audiovisual equipment to support public meetings with standard or routine technology needs. This equipment is available on a first-come, first-served basis. Clearly communicating your technology needs at the time of reservation is essential to ensure the room is appropriately equipped and the event begins smoothly and on time. Some agencies also bring their own AV equipment to support their meeting needs.

Advanced Livestreaming

For meetings requiring more advanced livestreaming capabilities, such as camera setups or customized streaming arrangements, a room must be reserved through the Conference Center, and a separate request must be sent to IDOA Video Support. This request should be submitted at least four weeks in advance.

Conference Rooms A, B, C, and D are currently undergoing modernization and will be equipped with upgraded technology to better support meetings and events. Additional updates will be provided as they become available.
