The electronic data files may be sent as an email attachment to: olqdata@idem.in.gov. The facility name, regulatory ID number (e.g. permit number, site number, facility ID number, case number), and a brief description of the file contents should be typed in the subject heading of the email.
Electronic data may also be submitted through the Program’s Submission email. Contact your program manager for additional details.
File Formats
Sample Point or Facility/Site Location Data
Locations (GPS points) for permanent sample points or facility locations only need to be reported once. Locations for temporary sample points must be submitted when samples are collected. See the IDEM Spatial Data Collection Standards for information on acceptable data collection methods. All files should be submitted as an ASCII, tab-delimited text file or spreadsheet.
Monitoring and Sampling Data
The electronic copy of sampling results should be formatted as an ASCII, tab-delimited text file and contain the facility's name and ID (Federal or State regulatory ID). All fields are required. See an example table [PDF].
Required Fields for Field Parameters and Analytical Results
| SampleDate | Month, day, year, and time (mm/dd/yyyy hh:mm:ss am/pm) |
|---|---|
| WellName | Name of monitoring well, piezometer, soil boring, leachate well, surface water collection point, etc. |
| LabIDN | ID assigned to the sample by the laboratory |
| SampleType | Regular, duplicate, trip blank, equipment blank, field blank, verification re-sample and replicate |
| SpeciesName | Chloride, sodium, ammonia, etc. Metals should indicate the “dissolved” phase of the “total” phase. |
| Concentration | The entry must be a number. Do not enter text such as “NA”, “ND”, or “<”. |
| Units | mg/L, μg/L, mg/kg, μg/kg, SU for pH, degrees Celsius (°C), or degrees Fahrenheit (°F) for temperature, and μmhos/cm for specific conductance. |
| Detected | Yes or no |
| DetectionLimit | The entry must be a number. Do not leave blank. |
| AnalyticalMethod | Method used to analyze sample. Field parameters do not need to have method listed. |
| EstimatedValue | Yes or No; If a concentration is estimated, use the “Comments” field to explain why. |
| Comments | Analytical lab and/or field personnel comments regarding the reported results |
| SampleMedium | Ground water, Leachate, Surface water, Soil, Sediment, Air, Waste, Sludge or Solids, Container (drum, barrel), or Soil gas. |
Field Data
Associated water levels do not have their own header but are entered as “GW WaterLevel” under the header “SpeciesName”. The actual elevations themselves are to be entered under the header “Concentration”. The preferred Concentration values are:
- GW WaterLevel - measured elevation of ground water in the well
- GW WaterDepth - measured depth to water
- GW WellDepth - measured total well depth
