When to Submit your Employee’s Hire Date

An employee’s hire date is the date the employee starts in their INPRS-covered position. This date should align with the pay period dates of the employee’s first payroll and reporting in the ERM system.

Why is this important?

A member’s hire date dictates when service credit should start and when their 60-day plan election begins. An incorrect date may delay this process.

Examples:

  • TRF: Teacher is hired on 7/1/2023 but doesn’t start teaching until 8/15/2023. 8/15/2023 will be the hire date as this date will coincide with the first payroll covering the 8/15/2023 timeframe.
  • PERF: Administrative personnel started on 7/1/2023. ERM should reflect 7/1/2023 as the hire date as the first payroll that member receives covers these pay period dates.
  • 1977 Fund: Duly sworn police officer and firefighter received an approved baseline as of 8/15/2023. Hire date can be on or after approval date.

For date of hire corrections, the Employer Advocate Team must have the following information to complete the request:

  • Submission Name and Unit Number
  • Member Name and/or Pension ID Number
  • Incorrect hire date as current in ERM
  • Correct date of hire
