Cataloging Tip of the Week September 2009

Tip #5, September 25, 2009

The 082 MARC field (Dewey Decimal Classification Number) should NOT be edited for any reason in Evergreen Indiana.

This number is the suggested DDC number for the title as assigned by the Library of Congress.  It does not have to match the number your library elects to use.

Only put your call number on your holding (when you add the volume) and leave the 082 field as it is.

Questions about cataloging in Evergreen can be posted to the ListServ: or emailed to any Committee member.

Tip #4, September 18, 2009

The cover image that appears in the OPAC view is based on the ISBN in the first 020 field of the MARC record.   This means it's important when  adding  a new ISBN to a record for rebound items (like Follett-Bound) that the new 020 field is added below the existing ones.

If you happen to spot a record in the OPAC (especially for a newer title) without cover art displayed, or if the image does not match the title (oh no!), you may want to check the ISBN in the first 020 field.

Also, if both a 10 and a 13 digit ISBN are on your item, then both should be on the MARC record.

If you have questions about cataloging in Evergreen, you can always post it to the ListServ or email individual Committee members.

Remember, we can customize our Evergreen screens by using the Column Picker The column picker allows us to chose from a list of options what information is displayed on each screen.  Once the columns are selected, we can resize and rearrange the columns to best suit a cataloger's needs.

Look for the little column picker icon to the right of the column headings. Click on it to display the available columns.  Click on an entry in the pull-down list to add or remove it from the screen.

To resize columns, move the cursor over the line between the column headings until it turns into a double pointed arrow.  Then click and drag the column boundaries around to resize.

Rearrange the columns by clicking on them one at a time and dragging to the desired location.

After customizing the screen, don't forget to save the columns so they will appear that way each time you log on.  Look for "Save Columns" under the "Actions for Selected Rows" or "Actions for Selected Items" pull-downs.  When customizing the Buckets screen, there is a separate Save Columns button.

Instructions (with screen shots!) on how to use the column picker can be found in Chapter 4 of the Evergreen Indiana Cataloging Training Manual:

The Evergreen Indiana Catalog Training Manual is online. Individual chapters in pdf format can be saved to your desktop or printed. takes you directly to the Training Manual.

A great online resource for cataloging that’s also FREE is the OCLC Bibliographic Formats and Standards. You do not have to be an OCLC library to access this site. It’s so easy to use and contains a wealth of information. Click on the field group you have a question about (4xx, 8xx, etc.), then narrow your selection by using the links along the left side of the page.

Be sure to attend a Cataloging Roundtable Wednesday September 9 from 10:00 a.m. to 12 noon.   Two roundtables will be held that day - one at the Greenfield Public Library for Evergreen catalogers in the southern part of Indiana and the other at the Kendallville Public Library for those living in the north.  Registered attendees will earn one (1) LEU.   Register on Webjunction Indiana by clicking on the button for Indiana Calendar of Events.
