Indiana Office of Technology Rates

As the end of FY 2020 approaches, the Indiana Office of Technology is sharing the newly approved FY 2021 rates for its services.

During these unprecedented times, IOT is continuing to make it a priority to maintain excellent services while working to minimize rate increases. For FY 2021, most rates, including Basic SEAT bundled service, will remain the same.

Some products, such as Mainframe services and Security services, will have reduced rates in FY 2021 while a minimal number of products, including Data Center services, will have modest increases.

Beginning July 1, the Disaster Recovery team has created a new product code 1223 - Server Hardware Extended Maint. with extended service maintenance to all physical servers hosted in the primary and secondary data centers. Currently, this a manual process, but everything will be streamed automatically by the end of October 31, 2020.

The IOT Services Catalogs detail each rate, the associated services and the agency metrics. These documents are a central place to find information about services provided by IOT, including how to: request a service, request help if you have an issue with a service, monitor the progress of your requests, resolve billing issues and how to terminate a service.

IOT is a revenue-neutral agency that operates on a charge-back model; it does not make a profit from its services. To figure out ways to potentially reduce an agency’s bill, IOT has a billing dashboard to graphically represent agency spending and provides tips on reducing usage. If you cannot access the billing dashboard, the agency Financial Manager or Controller should contact their agency’s security coordinator to request access.

The state’s move to a new content management system

The state’s website is the front door to agency operations - last year, nearly 114 million users visited IN.gov. To invest and maintain the state’s digital government presence, IN.gov is implementing a new, modern and intuitive content management system (CMS) for its customers.

Working in collaboration with the IN.gov Governance and User Councils, IN.gov selected a content management solution from Squiz, with the search tool, called Matrix.

Our new CMS system is MatrixIN.gov will be taking your exact website and picking up the content and pages and bringing them into the new CMS. There is not a new agency website design.

What’s Next?

  • Nothing is needed right now. A project manager from Indiana Interactive will reach out when it is time to begin preparing for migration. You will have an opportunity to designate your desired date and move into the new CMS in 2020 or 2021.
  • The pilot migrations have begun and full roll-outs will proceed through December 2021.
  • Standard agency templates (marketing and information) will be migrated first, and custom templates will be migrated after, likely in 2021.
  • Training for Matrix is going to be completed when your agency is closer to migrating to the new tool.

Moving to a new calendar system

IN.gov hosts a public calendar system that allows agencies to post event information, event registration, press releases, public notices and other entries. This calendar serves as not only a directory for current and future events, but also a historical database of past events.

IN.gov relies on a third-party application to host and manage the calendar, and we will be soon moving to a new vendor, Localist.

Localist

What is it? Localist is used by governments, universities, and corporations around the world. It offers a customizable interface that allows IN.gov and State agencies to maintain their branding and keep a segmented calendar view, much like the current calendar system.

Why the change? Localist offers an easy-to-use management interface while also providing an intuitive public-facing interface for citizens and visitors. Overall, Localist meets all of the needs of IN.gov, while offering new features that will improve the user experience for everyone involved.

When will the change take place? The integration to Localist will begin in August 2020 and the plan is to migrate all agencies onto the platform by December 2020. This quick transition will mean that the IN.gov team will be reaching out to you in the near future to begin scheduling discussions and training. There will be a public webinar announced very soon that will show the application and it’s capabilities while also giving an opportunity to answer any related questions.

Going Remote: Webinar on work during the pandemic

Hear State Chief Information Officer (CIO) Tracy Barnes, as well as the CIO from California and the Chief Technology Officer of Arkansas discuss the work challenges and triumphs they have seen over the past three months.

Our biggest footprint in Indiana on the technology side is a supporting role for the 120 agencies across the state. While we realize their goals and needs are very programmed and mission-driven, our goals and needs are to support them.
