Local Government Email and Collaboration Suite

Local Government Collaboration suite that includes IN.gov email

The Indiana Office of Technology (IOT) offers Google Workspace and Microsoft Products for Local Government Agencies.

Google offers two Workspace license options for local agencies. These Enterprise class licenses include robust collaboration features, not just web mail.

Based on the license selected, either Standard or Enhanced support is included in the license pricing Agencies also have the option to select implementation services if desired.

Deployment Services
Some agencies may need optional one-time Deployment Services for an additional fee. This is likely not needed by everyone, but if you do not have IT staff and are interested in more information regarding optional deployment services, including pricing, email INgovManagement@iot.IN.gov

Typical tasks and timeframe for Local Government Emails:

  • Agency places request
  • IOT IN.gov vets request
  • IOT IN.gov sends domain request to IOT DNS admins
  • Once domain is completed IOT IN.gov will send to Google for processing
  • Google will contact Agency to confirm requirements
  • Google will coordinate with SHI to provide a quote to the customer
  • For those requiring deployment services, Google will have the deployment team engage the customer to scope and schedule the deployment
  • Once SHI receives the purchase order (PO) from the customer, SHI will process the order and licenses will be issued by Google
  • The entire process is completed in an average of 10 business days, which can be longer depending on when the PO is received. Business days are M-F, 6:00am-6:00pm excluding State Holidays.

Microsoft

Microsoft products can be obtained by local government agencies via the state's contract with SHI. Pricing varies based on product and agency size. Please contact Justin Chisari for current month pricing.

Please note: IOT is providing this as a pass-through purchase and does not offer support for local agencies. Microsoft only offers minimal support unless the local agency is purchasing more than 250 licenses. The Microsoft products through the SHI contract may be best for larger agencies that already have a Microsoft tenant and can manage support on their own or through a separate provider. IOT recommends the Google Productivity Suite for smaller local government agencies.
