About the Temporary Healthcare Staffing Agency Registry

The Indiana Department of Health (IDOH) is responsible for maintaining the licensure and compliance of temporary healthcare staffing agencies.

Requirements

A temporary staffing agency is required to register with IDOH on an annual basis. Registration includes paying an annual registration fee, providing information related to the business ownership and structure, and providing a "schedule or description of all fees, charges, or commissions that the temporary healthcare services agency expects to charge and collect for services."

• A "temporary healthcare services agency" is defined as a person or business "engaged for hire in the business of providing or procuring temporary employment in healthcare facilities for healthcare personnel."
• IDOH interprets "temporary employment" for purposes of the temporary healthcare services agency registry to mean employment with an undefined duration or an expected duration of less than two years.
• IDOH interprets "schedule or description of all fees, charges, or commissions" (for the purposes of the temporary staffing agency registry) to mean a general schedule of fees, charges, or commissions that a temporary staffing agency expects to charge.
  • A price range of fees, charges, or commissions that an agency may charge over the course of the registration period specific to each healthcare personnel type an agency employs (i.e., registered nurse, nurse aid, etc.) is sufficient to meet this requirement.

Registration

The IDOH Gateway is used to complete the initial registration and the annual renewal for a temporary healthcare staffing license. The IDOH Gateway is accessed through Access Indiana. Once access is gained to Access Indiana and the IDOH Gateway, users may request access to the Temporary Health Care Services Agency application.

Register for Gateway

1. Click here to access the IDOH Gateway.
   1. If you do not have an account, on the right-hand side, click Step 1 - New User Register with Access Indiana ("Register to Access Indiana").
      • When prompted, select Temporary Health Care Services Agency from the drop-down menu for applications.
   2. If you have an account but need application access, on the right-hand side, click Step 2 - Request for Gateway or New Application Access ("Request Access").
      • When prompted, select Temporary Health Care Services Agency from the drop-down menu for applications.
   3. If you have an account and have application access, on the right-hand side, click Step 3 - Registered Users with Gateway and Access Indiana ("Sign in with Access Indiana").

Once your Access Indiana account has been created, your Gateway access is approved, and you have successfully accessed the Temporary Health Care Services Agency application, you may successfully complete the application.

Initial Registration

1. Click here to log into the IDOH Gateway.
   • On the right-hand side, click Step 3 - Registered Users with Gateway and Access Indiana ("Sign in with Access Indiana").
2. Access the licensure application by clicking on the Temporary Health Care Services Agency button.
3. At the bottom left-hand corner of the page, click the Begin New Registration button.
4. Add details and complete payment.
5. Once IDOH reviews your application, you will be notified in an email.
   • When approved, you will be notified in the email message and your certificate of registration will be attached to the email.
   • If additional information is required, you will be notified of the contents necessary to process your application in the email message.

When applications are completed and approved, entities are able to download their certificate of registration.

Annual Renewal

Note

The option for renewal becomes available at the 60-day mark for the current expiration of each entity. For example, if a license expires on Dec. 15, 2025, the entity will be able to renew their registration no earlier than Oct. 16, 2025.

Renewal Steps

1. Click here to log into the IDOH Gateway.
   • On the right-hand side, click Step 3 - Registered Users with Gateway and Access Indiana ("Sign in with Access Indiana").
2. Access the licensure application by clicking on the Temporary Health Care Services Agency button.
3. Search for agency by its identification (ID) number, by its employer identification number (EIN), or by its name.
4. When agency is located, click on View Details.
   • If you are not the administrator of the agency, you must request permissions to access its details.
5. At the bottom left-hand corner of the page, click the Renew button.
6. Update details as needed and complete payment.
7. Once IDOH reviews your renewal, you will be notified in an email.
   • When approved, you will be notified in the email message and your certificate of registration will be attached to the email.
   • If additional information is required, you will be notified of the contents necessary to process your renewal in the email message.

When applications are completed and approved, entities are able to download their certificate of registration.

Troubleshooting

Certain security measures may block traffic to the IDOH Gateway if it is originating outside of Indiana. Please email a screenshot of your Internet Protocol (IP) address to us for support.

If requesting support for an expired, pending, or initial registration for licensure, please include the ID number of the agency with your inquiry.
